We’re strategic at the beginning because the details change the recommendation. Guest count, session speed, and the time people actually have to participate all matter. One size fits all? Not how we like to do this.

Guest count is only part of the story

Two events with 200 guests can need very different plans. At one, people drop in throughout a four-hour reception. At another, everyone arrives together and has 45 minutes before dinner. Same guest count. Very different rush.

We look at when guests will use the experience, whether they’ll come as couples or groups, and how important it is for everyone to participate. That helps us assess coverage, placement, staffing, and whether one photo area is enough.

Session speed changes the flow

A quick group snap and a guided portrait session ask different things of your guests. Posing, the number of captures, choosing a favorite, entering delivery details, printing, and moving the next group into place all affect the pace.

A more involved session can be exactly the point. It can also need more breathing room. We balance the interaction you want with the time available, rather than promising the same number of guests per hour for every experience.

Choose the right hours, not just more hours

A longer booking does not automatically fix a short peak-time rush. We’ll ask about cocktail hour, dinner, speeches, dancing, and other moments that pull people away. Sometimes the best move is adjusting the start time or layout. Sometimes it is more coverage or another experience. The event should drive that decision.

  • Date, day of the week, and season. Demand and availability affect pricing. A weekday gathering and a peak-season Saturday may price very differently, even with similar guest counts. A weekday is not an automatic discount; we quote the actual date and scope.
  • Coverage and staffing. A guest-operated station, a roaming host, and a photographer-led portrait experience involve different teams and interactions. Extra hours and additional photo areas change the plan.
  • Prints and digital delivery. Digital sharing, photo strips, and 4×6 portraits are different takeaways. Confirm the format and quantity included, along with any custom print options.
  • Styling and branding. A personalized photo design and a fully customized booth exterior are different projects. Backdrops, custom panels, sponsor requirements, and special creative work can change production costs.

A lower headline number may cover a different scope. A higher quote should have a clear reason behind it. You should know what you’re getting before you book.

Not reliably. A package also involves preparation, equipment, staffing, setup, and collection. Additional time may be quoted separately, but dividing a package total by its hours does not create a universal hourly rate.
